Setting up your Superbuy Spreadsheet correctly from the beginning saves you hours of reorganizing later. This guide walks you through every step, from downloading the template to logging your first real order.
Step 1: Download the Right Template
Visit our Superbuy Spreadsheet templates page and choose the template that matches your needs. If you are just starting out, select the Wig Tracking Sheet. If you already have multiple vendors and want to compare them, choose the Vendor Comparison Sheet.
Download the file in your preferred format. Google Sheets users can click "Make a copy" to save it directly to their Drive. Excel users should download the .xlsx file.
Step 2: Create Your Vendor Directory
Open the template and locate the Vendor Directory tab. This is the foundation of your tracking system. Add every supplier you currently work with or are considering. For each vendor, record:
- Business name and contact person
- WhatsApp, WeChat, or email contact
- Minimum order quantity (MOQ)
- Typical shipping methods and costs
- Payment methods accepted
Step 3: Set Up Your Product Catalog
In the Product Catalog tab, list every type of hair product you buy or sell. This includes wig styles, bundle textures, colors, and lengths. Having a standardized catalog prevents naming inconsistencies later. For example, always use "613 Body Wave 24\" instead of mixing "BW 613 24" and "Body Wave 24 inch 613".
Step 4: Configure Auto-Calculations
The template includes pre-built formulas for calculating total cost, profit margin, and shipping per unit. Verify these formulas match your currency and business model. If you need to adjust them, double-click any cell with a formula to see how it works.
Key Formula Check:
Total Cost = (Unit Price × Quantity) + Shipping Cost
Profit Margin = (Selling Price − Total Cost) ÷ Selling Price × 100
Step 5: Log Your First Order
Now you are ready to track a real order. Go to the Order Log tab and fill in every field for a recent purchase. This test run will reveal whether your column setup works for your workflow. If something feels missing, add a column before you commit to tracking dozens of orders.
Step 6: Create a Review Schedule
The final step is building a habit. Schedule 15 minutes every Friday to update your spreadsheet. Mark delivered orders, add quality ratings, and review vendor performance. After one month, you will have a database that makes every future buying decision faster and smarter.
